Privacy Policy

This privacy notice is maintained by Walkden House Hotel to explain how we handle guest information. It is a template based on standard UK GDPR and Freetobook booking wording — please review with your own advisor before final publication.

1. Who we are

Walkden House Hotel ("we", "us", "our") is a family-run guest house at 17 Hornby Road, Blackpool, FY1 4QG. We are the data controller for the personal information described in this notice.

2. What information we collect

When you enquire, book or stay with us we may collect:

  • Your name, postal address, email address and phone number
  • Names and (where relevant) ages of other guests in your party
  • Arrival and departure dates, room and rate booked, any special requests
  • Payment card details (processed by our booking and payment providers — we do not store full card numbers)
  • Vehicle registration if you request parking information
  • Correspondence with us (email, phone messages, contact-form submissions)
  • Guest registration information required by UK law (the Immigration (Hotel Records) Order 1972)
  • Website usage data (see "Cookies and website analytics" below)

3. How we use your information and our lawful basis

We use your personal data for the following purposes:

  • To manage your booking and stay — including confirmations, pre-arrival information, breakfast preferences and invoicing. Lawful basis: performance of a contract.
  • To respond to enquiries you send via our website, email or phone. Lawful basis: legitimate interests / steps prior to entering a contract.
  • To meet legal obligations — including guest registration records, tax and accounting records. Lawful basis: legal obligation.
  • To improve our service — for example by reviewing feedback and keeping our website secure. Lawful basis: legitimate interests.
  • To send occasional marketing (special offers, seasonal availability) only where you have opted in. Lawful basis: consent — you can withdraw this at any time.

4. Who we share your information with

We do not sell your personal data. We share it only with trusted providers that help us run the guest house, and only to the extent they need it:

  • Freetobook — our booking, availability and payment-processing platform. Bookings made directly with us are processed through Freetobook. See Freetobook's privacy policy.
  • Payment processors — Stripe and/or SagePay (via Freetobook) to take card payments securely. We do not store full card numbers on our systems.
  • Third-party booking channels (e.g. Booking.com, Expedia) — when you book through them, they pass us your reservation details.
  • Email and IT providers — for correspondence, hosting and website analytics.
  • Accountants, HMRC and other authorities — where required by law.

All processors are contractually required to protect your data and to use it only for the purposes we specify.

5. International transfers

Some of our providers may process data outside the UK/EEA. Where they do, we rely on UK/EU-approved safeguards such as the UK International Data Transfer Agreement or Standard Contractual Clauses.

6. How long we keep your information

  • Booking and guest registration records: 6 years after your stay, to meet UK tax and immigration record-keeping requirements.
  • Enquiries that don't lead to a booking: up to 12 months.
  • Marketing contacts: until you unsubscribe or ask us to remove you.
  • Website analytics: aggregated data may be retained longer in anonymised form.

7. Your rights under UK GDPR

You have the right to:

  • Ask for a copy of the personal data we hold about you
  • Ask us to correct information that is inaccurate or incomplete
  • Ask us to delete your information where there is no legal reason for us to keep it
  • Object to, or ask us to restrict, how we use your information
  • Ask for your information in a portable format
  • Withdraw consent at any time where we rely on consent

If you're unhappy with how we've handled your data you can complain to the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

8. Cookies and website analytics

Our website uses a small number of cookies to make it work properly, remember your preferences and understand how visitors use the site. You can control cookies through your browser settings. Blocking essential cookies may affect the booking flow.

9. Security

We take reasonable technical and organisational measures to protect your information, including encryption in transit (HTTPS) and access controls on our booking system. No system is completely secure, so we can't guarantee absolute security, but we work hard to protect your data.

10. Children

Our website and booking service are aimed at adults. We only collect information about children in a booking party when their parent or guardian provides it as part of the reservation.
